AIT PE Class - Arrange a day and time for class
with Athletes In Training rep. Coordinate location with City Officials
and School District. Identify time, place, and location on website as
needed. Oversee class; work as liaison between coaches and parents as
needed. Organize payment for class with families.
Art/Dance/Spanish Classes - Secure teacher, time, and place for
classes. Announce time and place through Website or e-mail. Oversee
class; work as liaison between teacher and parents as needed. Organize
payment for classes.
Biography Night - Coordinate with church for room and date.
Distribute information to all families interested. List and organize
all participants for 5-10 minute presentations. Print programs and
invitations.
Book It - Coordinate with Pizza Hut for participation.
Distribute forms and coupons to all families interested. Give
pertinent information to the Webmaster as needed.
Class Coordinators - Secure time, cost and place, announce on
groupmail/web, act as liaison between FHCHE and teacher.
Cultural Outings - Coordinate with Phoenix Symphony, Herberger
Theatre, The Cookie Company/Phoenix Theatre, and any other
establishments to be on their mailing list for school participation.
Sign-up for events FHCHE is interested in attending for the upcoming
school year. Estimate number of tickets to reserve for each event
before the deadline. Coordinate dates and times with other FHCHE event
coordinators. Present sign up sheets and another pertinent information
at Kick-off Event. List suggested ages for each event. FIRM DEADLINES
FOR PAYMENT ARE ESSENTIAL! Give descriptions/dates/time to Webmaster.
Collect money by deadline. Pay contact at establishments promptly by
set deadline. Payment can be made at your discretion, i.e. by credit
card, check, or cash. Note: Credit card done by phone or fax expedites
payment. Call venue to confirm receipt. Copy play guide, parking
passes if applicable, rules and map to distribute to each family one
to two weeks before event. Note where and what time your group will
meet on each map or guide. Fee for this service at your discretion. Be
prepared to answer questions re: where to park, how long it takes to
get there, car pooling, proper attire, what can be brought into the
theatre, other activities/events/restaurants in the vicinity. Stress
promptness and don't wait for someone if most of you group is
assembled and has been told to come in and be seated. You may tell the
person in charge how many more are expected so they'll be admitted
without you. If desired, compile waiting list after deadline to fill
in cancellations. Request that people call as soon as possible if they
cannot attend an event so that you can hook them up with the next
person on the waiting list. They can then purchase their tickets
directly. If desired, make reminder calls to each family the week
before the event. Attend each event and introduce yourself to the
person(s) in charge. You are the spokesman for FHCHE. It is imperative
that you take charge of our group and insure orderly Christian
behavior. (staying together, lining up, speaking quietly, listening to
the adult in charge, etc.) Thank the person in charge before leaving.
Within one week, send a thank you note to the organization.
Directory Editor - Maintain and update directory as needed on
website. Advise group via group email regarding new families joining
and/or leaving.
Event Greeters - Greet members as they arrive at event. Hand
out any materials. Answer questions about event.
Field Trips Coordinator - Coordinate with those families signed
up for organizing field trips. Each Field Trip volunteer organizes one
field trip per year (8 volunteers total for school year). Set up field
trip schedule. Field trip behavior policy will be placed on website.
Supply information to the Webmaster the month before and the month of
field trip (money needed, directions, carpool information, etc.). If
needed, provide maps for the upcoming field trip. NOTE: Most of these
responsibilities can be delegated to the families organizing the
particular field trips.
Geography Fair Committee - Confirm time and location for fair.
(Date is decided at Organizational Meeting in the summer) Provide time
and place and any other necessary information to the Webmaster
two-three months prior to event. Buy ribbons and/or awards. Coordinate
any flyers or letters to members about the event. Arrange for
greeters. Arrange for childcare for three years old and younger.
Arrange for set-up and clean up. Coordinate Geography Bee competition.
Graduation/Fine Arts Fair Committee - Confirm time and place.
(Target last week in May.) Send letter to members with requirements
for Art and Performing Arts Fair requesting information needed for
certificates, diplomas, etc. If any Senior Graduates or 8th Grade
Graduates, make arrangements for honoring ceremony. Plan refreshments.
Prepare certificates and ribbons. Arrange for a Master of Ceremonies.
Print programs. Organize Performing Arts schedule for event. Organize
artwork display. Schedule dress rehearsal for Performing Arts
participants. Arrange for set-up and clean up. Arrange for childcare
for three years old and younger.
Kick-off Party Committee - Confirm time and location for
meeting. (Date is decided at Organizational Meeting in summer)
Coordinate with facility contact as needed, i.e. chairs, tables,
overhead projector, etc. Provide information to Webmaster two-three
months before meeting. Send flyers, letters, and any other necessary
communication concerning meeting. Coordinate refreshments
Library/Materials Coordinator - Responsible for group FHCHE
materials and library. Make these materials available to members and
coordinators as needed. Organize and store any materials, supplies, or
books, which are purchased or donated to FHCHE. Keep inventory of all
materials in stock.
Member Care Coordinators - Communicate needs to those who
volunteered for Member Care. Arrange for various needs to be met, i.e.
meals, childcare, etc.
Missions Project Coordinator - Arrange various mission
projects. Announce date and time and any other necessary information
through e-mail or Website prior to event. Coordinate any flyers or
letters to members about the event.
Mom's Night Out Coordinator - Decide on day, time, location,
and activity. Communicate information to members. Coordinate with any
establishments as needed.
Monthly Meeting Coordinator - Prepare agenda for monthly
meetings or arrange for another member to do so. Facilitate meeting or
arrange for another member to do so. Coordinate with facility contact
for day, time, and any other needs for meeting, i.e. chairs, tables,
overhead projector, etc. Coordinate refreshments as needed. Give any
pertinent information to Webmaster on monthly basis.
Public School Liaison - Communicate to FHCHE members public
school opportunities for home schoolers, i.e. school pictures, vision
and hearing testing, academic testing, electives, extracurricular
activities, etc. Act as spokesperson for FHCHE to the public school
system.
Publicity/PR/Newspaper Coordinator - Send press releases for
FHCHE events to Fountain Hills Times. Responsible for photography at
FHCHE events. (note: this responsibility may be assigned to others as
determined by the Coordinator.)
Science Fair - Confirm date and time for Science Fair. Announce
date and time and necessary information on Website two-three months
prior to event. Distribute any flyers or letters to members about the
event.
Secretary - Take minutes at FHCBE monthly meetings including
the Organizational Meeting in summer. Communicate with other
coordinators to process any other written information if needed
before, during, or after monthly meeting and Organizational Meeting,
i.e. agenda, flyers, lists, sign up sheets, job list, job
descriptions, etc. Coordinate with Webmaster to publish minutes on
secure website pages.
Student Identification Coordinator - Arrange for student I.D.
cards to be made. Communicate all necessary information to members
through the groupmail or other avenues as needed.
Treasurer - Responsible for all money given to home school
account. Maintain FHCBE checking account. Keep track of yearly
membership fees from all families. Reimburse members for various
out-of-pocket expenses.
Webmaster - Publish and maintain group website. Make updates as
needed. Send e-mail reminders.
Welcome Wagon Coordinator - Contact person for FHCHE. Send
applications to prospective members. Receive applications and fees
from new members. Maintain and send New Member Packet to new members.
Forward fees to Treasurer, forward new member information to Directory
Editor.
Yearbook Committee - Collect Photos and Articles. Take Yearbook
orders. Publish Yearbook
